TL;DR

Groupize launched aime™ Guest, an AI travel orchestrator that books and manages air, hotel, and ground travel for people who travel on a company’s behalf but aren’t on its payroll, inside existing policy and SAP Concur workflows.

Key takeaways

  • It covers candidates, speakers, HCPs, contractors, board members, and other guests, with different rules for each traveler group.
  • It builds HCP compliance into every trip: MedPro license checks, IQVIA data, transfer of value, and Sunshine Act reporting.
  • It handles the full trip, from invite and booking to approval, payment, tracking, and reconciliation in Concur Expense.
  • Guest reimbursements and more agentic AI capabilities are on the roadmap.

BOSTON – October 13, 2026 – Groupize, the AI-native platform for in-person corporate meetings, events, and group travel, today announced aime™ Guest, an AI travel orchestrator for the people who travel on a company’s behalf but aren’t on its payroll. aime Guest handles air, hotel, and ground travel for individual guests and full groups, from invitation through booking, payment, tracking, and reconciliation.

Every organization has travelers who don’t sit in its HR system. Candidates fly in for interviews, physicians speak at advisory boards, contractors join project teams, and board members attend quarterly meetings. Their travel is often booked by hand, paid through individual receipts, and invisible to the travel program.

aime Guest brings that travel into the same policy, payment, and reporting framework as employee travel.

Built for Every Traveler Type

aime Guest supports several traveler types, including candidates, new hires, interns, HCPs, patients, speakers, visiting faculty, contractors, vendors, volunteers, board members, crew, and family members. Planners set different rules for each group within the same meeting. Attendees can book on their own card under standard policy, speakers and HCPs can travel under a separate rule class with central billing, and VIPs can submit a request instead of booking.

HCP Travel That Goes Beyond Integration

For life sciences organizations, aime Guest builds compliance into every HCP trip. It validates licensing through MedPro, pulls HCP identity and affiliation data from IQVIA, captures transfer of value on every trip, and supports Sunshine Act and Open Payments reporting. aime checks spend caps, fair market value, meal limits, and prohibited items before a booking is confirmed.

End-to-End Guest and Group Travel

aime Guest covers the full trip:

  • Invite: guests receive a one-time link, with no login or travel profile required.
  • Book: guests self-book air, hotel, and ground within policy, or aime coordinates the trip for them.
  • Approve: approvals route through aime Request and Concur.
  • Pay: virtual cards, ghost cards, or a central travel account cover costs up front.
  • Track: live booking status, flight tracking, itineraries, and onsite check-in.
  • Reconcile: spend flows into Concur Expense, with total guest travel spend reported in aime Insights.

The same workflow scales from a single candidate visit to a group meeting with hundreds of travelers and room blocks.

“Guest travel has been one of the hardest parts of running a meetings program, and it’s something we’ve been building toward for six years. aime Guest finally treats every traveler, from a job candidate to a keynote physician, with the same policy, visibility, and care as an employee, without adding work for the planner,” said Charles de Gaspé Beaubien, Founder and Chief Commercial Officer of Groupize.

What’s Next

Groupize plans to extend aime Guest with guest reimbursements, replacing the individual receipt process that today often routes through accounts payable and can take weeks. Additional agentic AI capabilities are also on the roadmap.
