Planned integration will route each meeting to an AI-powered SmartBid or an instant booking path based on its size, type, and complexity, reducing friction for corporate buyers and hotels
BOSTON, United States / ESPOO, Finland – October 8, 2026 – Groupize, the AI-native platform for in-person corporate meetings, events, and guest travel, and MeetingPackage, the AI-native central reservation system (CRS) for Groups, Meetings & Events, today announced a strategic partnership and planned integration to connect AI-powered corporate meeting demand directly with hotel and venue supply.
The partnership combines aime™ SmartBids, Groupize’s agentic AI solution for venue sourcing and negotiations, with MeetingPackage’s hotel sales, booking, and connectivity capabilities. As the integration develops, Groupize aims to route each meeting, based on its size, type, complexity, and requirements, either to an AI-powered SmartBid or to an instant booking experience.
Two Paths Based on the Meeting
Not every meeting should require an RFP.
Smaller, simpler or more standardized meetings can take an instant path. Where participating hotels make rates and availability available, planners can move from discovery to pricing and booking without a traditional RFP. MeetingPackage’s Instant Quote helps hotels answer eligible inquiries from connected channels with priced, branded proposals within minutes, using their own availability, rates, and rules.
Meetings that need proposals, negotiation, complex space requirements, or more hotel interaction move to aime SmartBids. Its agentic AI helps create and distribute the RFP, communicate with properties, analyze proposals, compare options, and support negotiations.
In both cases, enterprises keep the policies, preferred suppliers, approvals, and governance their programs require.
Connecting AI Demand Directly to Hotel Supply
Corporate meeting sourcing has long relied on disconnected marketplaces, emails, RFPs, phone calls, and manual follow-up. Hotel sales teams receive requests through many channels and often re-enter the same information into their Sales & Catering, property management, and other systems.
AI is improving the demand side of that equation. It becomes far more useful when it connects to the supply infrastructure hotels already use. As the integration develops, and where supported by participating hotels, Groupize aims to access:
- Hotel, venue and meeting-space content
- Day delegate rates and meeting packages
- Group rates and availability
- Instant booking for eligible meetings
- Structured RFP delivery into connected hotel systems
- Connectivity with Sales & Catering and property management systems
“AI shouldn’t just make it easier to send an RFP. It should help determine whether you need an RFP at all,” said Charles de Gaspé Beaubien, Founder and Chief Commercial Officer of Groupize. “If it’s a straightforward meeting and we have the rates, availability, and connectivity, the best experience may be to simply book it. If it’s larger or more complex, aime SmartBids can use AI to source, communicate, and negotiate. MeetingPackage gives us an important supply-side connection to make both experiences possible.”
Helping Hotels Reach Buyers and Win Business
The planned integration will offer hotels an additional route to corporate demand through Groupize, while making those inquiries easier to handle through MeetingPackage. Less repetitive administration and back-and-forth gives hotel sales teams more time to advise customers, build relationships, and handle complex events.
“Hotels need to be visible where corporate buyers are looking and able to respond quickly when an enquiry arrives,” said Tania Sidokpohou, Partnerships Director at MeetingPackage. “By combining Groupize’s AI-powered planning and venue sourcing with MeetingPackage’s hotel sales and booking capabilities, we aim to help hotels win more meeting business and make it easier for planners to find the right venue and obtain a proposal.”
Reducing Friction on Both Sides
For corporate planners, the integration aims to reduce time spent searching, sending RFPs, waiting on responses, and comparing options by hand. For hotels and venues, the goal is fewer unnecessary RFPs, less duplicate data entry, and more structured, qualified opportunities.
Instant booking and SmartBids are complementary, not competing, sourcing models. A small meeting with straightforward requirements can be booked directly. A larger meeting with guest rooms, multiple spaces, food and beverage, concessions, or contract terms moves into an AI-powered SmartBid.
The first generation of online sourcing digitized the RFP. The next will use AI and direct integrations to decide when an RFP is needed and when it can be skipped. By combining agentic AI with direct supply connectivity, Groupize and MeetingPackage aim to deliver less searching, fewer unnecessary RFPs, faster transactions, and better-qualified business for hotels.
